Every capture gets a path forward.

Sparks are AI suggestions that appear after every capture. Before the full system map below, here is one real capture walked end-to-end.

You say (voice memo)

"Had lunch with Maya. She recommended that new Thai place on Elm Street. Also, I need to send her the project brief by Wednesday and we should plan a team dinner for the 20th."

Sparks suggest
List item Add "Thai place on Elm Street" to Restaurants to Try
Task Send project brief to Maya — due Wednesday
Event Team dinner — March 20th

Sparks work across every capture method — voice, text, screenshots, photos, document scans, web clips, and meetings. The smarter suggestions system understands context from your existing projects, goals, and habits, so every incoming thing can become a next step instead of getting stranded.

One system from capture to follow-through.

That one voice memo is just one path through the system. The diagram below shows every capture type feeding into Clevernotes and every way the system routes it back out — to Sparks, Search, Memory, CleverPal, Projects, Tasks, Reminders, Goals, and Habits.

Capture every incoming thing with zero friction.

The beta is built for the messy stream of real life: the half-formed thought, the receipt you will need later, the web page you want to revisit, the task hidden inside a meeting. Capture it the moment it appears and let the app organize it afterwards.

Voice recordings

Brain dump during your morning walk. Dictate a grocery list in the car. Capture a thought before it vanishes. AI transcribes in real time with speaker identification.

Text notes

Quick thoughts or long-form writing. Markdown support when you need structure, plain text when you don't. Start typing and let AI figure out what it means later.

Screenshots & photos

Snap a whiteboard after a brainstorm. Photograph a receipt. Screenshot an error message. AI vision extracts text, identifies content, and makes everything searchable.

Camera capture

See something worth remembering? Snap a photo from your phone — a label, a business card, a whiteboard, a meal. AI vision reads and indexes everything in the image.

Document scanner

Scan contracts, letters, handwritten notes, and paper documents straight from your phone. The built-in scanner produces clean, searchable captures.

Files & documents

Drop in PDFs, documents, spreadsheets, images. AI reads and indexes the content so you can find it later by what it says, not what it is called.

Web clips & shares

Share a page from Safari or any mobile browser today. Dedicated Chrome and Safari extensions are coming soon. Full article content is extracted and preserved.

Meeting recordings

Record a client call or team standup without a meeting bot. Get structured transcripts with speaker labels, AI summaries, and Sparks for every action item mentioned.

Set meaningful goals. Track real progress.

Goals turn the things you capture into intentional direction. Define what matters, break goals into milestones, and watch as your daily captures, tasks, and projects align toward the outcomes you care about.

Goal-aligned suggestions

AI reads your captures and suggests tasks that move your goals forward. A voice note about a new business idea becomes a task under your "Launch side project" goal. A meeting note about Q2 targets links to your "Hit revenue milestones" goal. The system connects the dots.

Milestones & progress

Break big goals into smaller milestones. Track completion across linked projects and tasks. See visual progress that tells you at a glance whether you are on track or falling behind.

Connected to everything

Goals connect to projects, tasks, habits, and your AI memory. When you review your week, goal progress appears alongside completed tasks and capture summaries, so you always know whether your effort is pointed in the right direction.

Build routines that serve your goals.

Habits turn intention into consistency. Define daily or weekly routines, check in from Focus view, watch streaks grow, and get gentle nudges when a routine is slipping. AI connects habits to your goals so every routine serves a purpose.

Daily & weekly tracking

Define habits with any frequency: daily, weekdays only, three times a week, weekly. Check in with a single tap from Focus view. See your streak at a glance and track consistency over time.

Connected to goals

Link habits to goals. A "Write for 30 minutes" habit connects to your "Finish the manuscript" goal. A "Exercise 4x per week" habit connects to your "Get healthier" goal. Progress on habits feeds into goal progress.

Gentle accountability

Clevernotes does not nag. When a habit starts slipping, it surfaces in your Focus brief and weekly Review as a calm observation, not an alarm. The system helps you notice patterns without adding stress.

The system that keeps things from falling through the cracks.

Clevernotes is where capture becomes follow-through. Projects, tasks, reminders, lists, a calendar, Focus, Review, Triage, and people-aware context give every incoming thing somewhere to live and a way to get done.

Triage queue

New captures land in a triage queue where you quickly sort, accept Sparks, and route items to projects, lists, or the archive. Think of it as zero-inbox for your captures — process everything, let nothing sit unreviewed.

Focus

Start each day with an AI-prepared brief. Today's schedule, overdue tasks, habit check-ins, goal progress, and a synthesized overview of what matters most. No digging through lists to figure out where to begin.

Review dashboard

End each week with a review of what you captured, accomplished, and need to follow up on. An AI-generated synopsis helps you reflect on your week, adjust goals, and set priorities for the week ahead.

Projects

Group related tasks, notes, and files under projects. Whether it is planning a wedding, launching a product, or renovating the kitchen — everything lives together. Track progress and see what needs attention.

Tasks & reminders

Priorities, due dates, recurring reminders, and project assignments. Tasks are created from Sparks, from CleverPal, or manually. Set a reminder for "every Tuesday at 9am" or "the day before the lease expires."

Lists

Restaurants to try, books to read, gift ideas, packing lists, wine recommendations. Mention something in a voice note and Sparks suggest adding it to the right list. Lists grow organically from your daily captures.

Calendar & agenda

Events and schedule integrated alongside tasks and reminders. See what is ahead and what needs your attention today — all in one place. AI can create events from your notes, and meeting recordings link back to calendar entries.

People

On macOS, dedicated People pages keep meetings, notes, and follow-ups connected around the same person, so recurring relationships are easier to recover later.

AI does the remembering and organizing work for you.

The moment you capture something, AI goes to work — transcribing, analyzing, extracting insights, and connecting it to everything else you know, so the system can help you stay on top of it later.

Transcription

Voice recordings and meetings are transcribed automatically using Google Gemini. Speaker identification labels who said what. Transcripts are fully searchable and editable.

Image & document analysis

AI vision reads screenshots, photos, PDFs, and documents. It extracts text via OCR, identifies diagrams and charts, reads handwriting, and describes visual content. Everything it finds becomes part of your searchable knowledge base.

Memory extraction

AI identifies the important parts of every note: key insights, entities (people, places, projects), action items, and contextual tags. This structured extraction powers the memory system and makes connections across your entire collection.

Automatic organization

No folders. No manual tags. AI categorizes and connects your content based on meaning. Related notes surface automatically. You never have to decide where something goes.

What you capture today stays useful later.

The memory system extracts facts, preferences, relationships, and context from what you capture, then stores that structure alongside the original note. That means old captures stop behaving like a dead archive and important things do not vanish just because time passed.

When you search or ask a question later, Clevernotes can connect the follow-up email to the meeting note, the restaurant recommendation to the running list, or the budget screenshot to the project it belongs to, so you are not rebuilding context from scratch.

Help across everything you have captured.

CleverPal is the assistant that searches your notes, organizes your tasks, and helps you follow through. Ask it to find information, clean up duplicate tasks, move items into a project, or draft the next email from a meeting note.

Every response stays grounded in your own captures, with source lists back to the original note, transcript, file, or clipped page. When retrieval is the better answer, CleverPal can return structured result cards; when organization is the goal, it can take action instead of stopping at a summary.

"Find duplicate tasks and help me clean them up"
"Move all the marketing tasks into the Q2 Launch project"
"What did we decide about pricing in last Tuesday's meeting?"

Your knowledge base, accessible to compatible AI tools.

Clevernotes implements the Model Context Protocol (MCP) — an open standard that lets external AI assistants access your notes, tasks, reminders, and calendar with your permission. Connect Claude, ChatGPT, or any MCP-compatible AI when you want those tools to work against your own stored context.

Cloud MCP access is off by default. In Data Controls, you can choose whether approved tools can access note text, attachments, memory, meeting insights, or write actions, and you can require re-approval or set an expiry window. 20 tools are available covering notes, todos, reminders, projects, lists, goals, habits, calendar events, collections, and AI-powered search.

Content

Search, create, update, and organize entries across all content types.

Tasks & Reminders

Manage todos with priorities, due dates, projects, and recurring reminders.

Organization

Projects, lists, collections, and calendar events for structured planning.

AI Search

Semantic search and agentic search that analyzes your notes to answer complex questions.

The web stops being where things get lost.

Dedicated Chrome and Safari web clippers are under development and coming soon. In the meantime, iPhone users can already share pages from Safari and other mobile browsers into Clevernotes with full-content extraction instead of saving a bare URL.

AI processes web clips the same way it handles every other capture: extracting insights, generating Sparks, and connecting the content to your existing notes. Save an article about hiking trails and it links to your "Trip Planning" project automatically.
